Why do we process personal data?
Planet-EMC is registered with Ofsted the body responsible for regulating and inspecting the provision of childcare in England. As a result of this, our policies and procedures on personal details are in guideline with what we are required to do as a registered childcare provider with Ofsted. This is necessary to help us decide whether people working with us are suitable, children are cared for, under safeguarding, health and safety policy and parents or any other individual associated with the care of the children are informed and consented to all information relating to their child.
How we use information
Childcare practitioner:
Because we need to make sure that you are suitable to work and look after children or to be in regular contact with children, we must hold and look at a range of your data.
We will keep relevant information about you for at least as long as you are registered with Planet-EMC. We may keep it for a longer period, depending on whether any compliance issues or concerns were raised during the period you are with us.
We may collect and see information about you as part of our work with other related organisations. This can include information written by Ofsted, D.B.S. or given to us by related agencies in their correspondence.
Children:
If children are under the age of 11 and have been in Planet-EMC childcare setting, we need information about the child in line with Ofsted requirements, health and safety laws and insurance coverage. Some of this information will be provided by the clients, the parents/carers or the child who has registered to be in our childcare setting.
Parent of a child cared for in our setting:
We may hold information about you because you have been in our creche space and we will need to contact you in case of emergency or having you attend to your child’s needs. We will hold this information alongside other information about your child’s needs. If you make a complaint, we may have to pass this information to third parties such as Ofsted or other required organisations.
Clients:
We receive information from clients who want Planet-EMC to provide a childcare service. This can be from individuals or people representing companies. Planet-EMC will use the information provided to contact clients and keep them updated on our childcare services.
Types of personal data that we might hold
We hold a wide range of personal data because of the regulation of the provision of childcare in England. Specifically for Ofsted regulations and those who must be suitable to be around children. Where applicable, this can include:
Name address/contact details/email/phone number date of birth information about client compliance with regulations/previous employment/references details of criminal convictions and alleged offences performance information relevant information received about personal life and relationships
We may also hold the following information about any person working in or using childcare services:
their personal opinions relating to work health information safeguarding information
Who we might share personal data with
When needed, Planet-EMC is required to share information with Ofsted. Information may also be shared with other public authorities associated with childcare such as:
local authorities the Department for Education any other appropriate authorities, to protect children from harm or neglect
We may also be required to share personal data with:
Clients that requested us to provide childcare services to parents of children in our care the Disclosure and Barring Service (DBS)Our insurance company.
We share information with child protection agencies in line with our legal duties and other statutory guidance issued by the government.
How long do we keep personal data
We will keep relevant information about children, parents, clients and childcare practitioners as required by the law. We may keep this information for a longer period, depending on whether any compliance
